Privacy Mark

Infocom was granted the use of the Privacy Mark (P Mark) on August 14, 2001 and has been working since as a business certified by Japan Institute for Promotion of Digital Economy and Community (JIPDEC). The P Mark complies with the Japan Industrial Standards (JIS Q 15001) relating to personal information protection and verifies that a system for properly handling personal information has been established.

Infocom must receive the following documents in order to confirm the "Request to access personal information" form and the applicant's identity.

  • When Making the Request by Yourself

Please send the request form and copies of documents ①, ②, and  below (one of each).

Residence certificate: Valid for at least six months from the date of issuance.
Foreign resident's card Copies of both sides if your address has changed.

 

②Copy of either your driver's license, passport, or National Health Insurance card: 1 form
*When sending an identification document indicating your "domicile," be sure that the document indicates no items other than the main address.
Driver's license: Copies of both sides if your address has changed.
Passport: Two copies of the photo and address page.
National Health Insurance card: Copy of the applicant's name, date of birth, and address.

  • When Making the Request through a Proxy

 

Documents to identify the proxy must be provided. If the proxy is "an individual," please enclose the documents in the previous clause together with the documents indicated in (A-①②③below. If the proxy is a statutory representative of a minor or an adult ward or is assigned by the applicant to request the disclosure, enclose the documents in the previous clause together with the documents indicated in B-①②③④⑤) below.

 

A) In the Case of a Statutory Proxy

Please prepare the following documents to identify the statutory proxy.

(3) Reply to Your Request for Access

[By providing electromagnetic records].
In principle, the customer shall be the recipient, and the electromagnetic record shall be attached to and sent to the e-mail address designated by the customer.

 

[By delivery of written documents].

A written reply will be sent by certified mail (with delivery restricted to the addressee) to the address of the applicant stated on the residence certificate.

 

(The applicant for disclosure will be the recipient. The reply will be sent to the address mentioned in the residence certificate even if a consigned proxy has applied.) (The statutory representative will be the recipient. The reply will be sent to the address mentioned in the residence certificate if a statutory representative has applied.)

 

The phone number of the recipient will be written on the envelope since it is certified mail with delivery restricted to the addressee. The post office will contact the recipient when the mail can be received or picked up at the post office with identification.

Reason for non-disclosure of "individual data held by company."

Infocom will not disclose the data it holds in the following situations. When Infocom declines a disclosure request, it will send a notification of non-disclosure indicating the reason for non-disclosure (and use the designated postage fees to process and send the notification):

  • If the address stated in the documents identifying the address and individual mentioned in the application do not match the registered address, and the individual cannot be identified.
  • If proxy rights cannot be confirmed during an application by a proxy.
  • If the documents for application are inadequate.
  • If an individual subject to a disclosure has requested Infocom "not to store individual data."
  • If disclosure would pose a risk of harm to the life, body, property, or other rights or interests of the individual or any third party.
  • If disclosure could significantly hinder the proper performance of duties at Infocom.
  • If disclosure would violate any laws or regulations.

(4) Notes

  • Applicants sending in requests for disclosure will be informed if return postage fees are insufficient or have not been enclosed. In such a case, the request for disclosure will not be considered sent if the postage fees are not received within a designated period.

 

  • Personal information submitted in the disclosure procedures shall be used within a scope necessary for individual identification, comparison of stored individual data, and disclosure of contacts with individuals or applicants (proxies).
    Applications will not be returned, but will be disposed of after a certain period.
     
  • Please be aware that time may be necessary to compare the personal data when a request for disclosure documents is received. The delivery of disclosure documents may therefore be delayed.

6. "Certified Personal-information-protection Groups" Established at Infocom.

There are no certified personal-information-protection groups established at Infocom.

7. Handling of Private Information

This website uses Web beacon technology and automatically requests to store cookies in the personal computers of visiting users.

 

The information stored on cookies will only be applied for the use of the company's homepage, and no personal information will ever be gathered.

 

Note, also, that access analytics software is used to make our homepage more attractive and to improve the browsing experience of visiting users.
