Infocom Policies Based on JIS Q 15001

"JIS Q 15001" require that corporations publish designated information and provide customers with easy access to that information at all times. Infocom will provide all of the following details whenever it publishes designated information under the Law.

We will never change our purpose of use before obtaining the consent of the customer.

c) Purpose of Use of Personal Information Obtained Other Than in Writing

Purpose of use of the personal information obtained other than in writing are as follows.

3. Shared Use of Personal Information or Data

We will comply with all related laws whenever a business succession or another occasion for shared use occurs.

4. Provision of Personal Information to Third Parties

We will never disclose the personal information and personal data we handle to a third party, except in the following cases.

  1. When the individual consents to the disclosure.
  2. When the disclosure is required by or based on laws.
  3. When the disclosure is necessary for protecting a person's life, body, or property, and the consent of the individual is difficult to obtain.
  4. When the disclosure is considered necessary for improving public health or propelling the growth of children, and the consent of the individual is difficult to obtain.
  5. When the disclosure is necessary for cooperation with the execution of statutory tasks by national or local public organizations or persons trusted thereby, and the execution of the statutory tasks is likely to be obstructed by steps to obtain the individual's consent.

5. Procedures for Requests Regarding the Following Types of Personal Information, etc.: Notification of the Purpose of Use, Verification, Correction (Addition or Deletion), or Termination of Use.

(i) Items Customers and Others are Allowed to Access

Customers and others are allowed to access the following personal information: name, address, phone number, FAX number, company name, department name, date of birth, E-mail address, and user ID(s) (or the equivalent).

(ii) How to Make a Request

Please use our standard request form to request a notification of the purpose of use of personal information held by Infocom or to verify, correct or terminate the use of such information. You can download our form from the following links or have a copy sent to you by contacting our reception desk by e-mail or phone.

Please fill out the specified fields of the form and send the form to us by mail together with a document proving your identity. Persons sending request forms must bear the return postage fees.

Please see the descriptions in the respective service sites for details on the handling of personal information by content service (except when requesting a notification of the purpose of use or access to the information).

A. Request to Access Personal Information

Documents to be Mailed when Making the Request

Infocom must receive the following documents in order to confirm the "Request to access personal information" form and the applicant's identity.

When Making the Request by Yourself

Please send the request form and copies of documents (1), (2), and (3) below (one of each).

  1. Application to disclose, revise, or terminate the use of data held by Infocom (designated application): 1 form
  2. Residence certificate (foreign resident's card for non-Japanese): 1 form
  3. Residence certificate: Valid for at least six months from the date of issuance.
  4. Foreign resident's card Copies of both sides if your address has changed.
  5. Copy of either your driver's license, passport, or National Health Insurance card: 1 form
  6. *When sending an identification document indicating your "domicile," be sure that the document indicates no items other than the main address.
  7. Driver's license: Copies of both sides if your address has changed.
  8. Passport: Two copies of the photo and address page.
  9. National Health Insurance card: Copy of the applicant's name, date of birth, and address.
When Making the Request through a Proxy

Documents to identify the proxy must be provided. If the proxy is "an individual," please enclose the documents in the previous clause together with the documents indicated in (A-(1)(2)(3) below. If the proxy is a statutory representative of a minor or an adult ward or is assigned by the applicant to request the disclosure, enclose the documents in the previous clause together with the documents indicated in B-(1)(2)(3)(4)(5)) below.

A) In the Case of a Statutory Proxy

Please prepare the following documents to identify the statutory proxy.

  1. Copy of the family register or a registration certificate of the statutory representative: 1 form
    -In the case of a minor: copy of the family register
    Valid for at least six months from the date of issuance
    -In the case of an adult ward: Registration certificate
    Please inquire at the Section for Registering Guardians at the Tokyo Legal Affairs Bureau.
    *Address of Tokyo Legal Affairs Bureau
  2. Residence certificate (foreign resident's card for non-Japanese) of the statutory representative: 1 form Residence certificate: Valid for at least six months from the date of issuance. Foreign resident's card: Copies of both sides if the address has changed.
  3. Copy of either the driver's license, passport, or National Health Insurance card of the statutory representative: 1 form

    *When sending an identification document indicating a "domicile," be sure that the document indicates no items other than the main address.

    Driver's license: Copies of both sides if the address has changed.
    Passport: Two copies of the photos and address page.
    National Health Insurance card: Copy of the name, birthday, and address of the statutory representative.

B) In the Case of a Consigned Proxy

Please send the disclosure application and forms (1),(2), (3), (4) and (5) below (one of each).

  1. Power of attorney designated by Infocom: 1 form
  2. Individual's seal certificate: 1 form
  3. Individual's residence certificate: 1 form
  4. Proxy's residence certificate: 1 form
  5. Copy of the proxy's driver's license, passport, or National Health Insurance card: 1 form

*When sending an identification document indicating a "domicile," be sure that the document indicates no items other than the main address.
Driver's license: Copies of both sides if the address has changed.
Passport: Two copies of the photo and address page.
National Health Insurance card: Copy of name, birthday, and address of the proxy.

(iii) Postage for Requesting Access

a) The Following Postage is Required for Each Request

¥600 (including: ¥80 for a standard-size envelope, ¥420 for registration, and ¥100 for arranging for delivery to the principal only)

b) Payment of Postage

Please enclose ¥600 worth postal stamps with the request form.

(iv) Reply to Your Request for Access

A written reply will be sent by certified mail (with delivery restricted to the addressee) to the address of the applicant stated on the residence certificate.

(The applicant for disclosure will be the recipient. The reply will be sent to the address mentioned in the residence certificate even if a consigned proxy has applied.) (The statutory representative will be the recipient. The reply will be sent to the address mentioned in the residence certificate if a statutory representative has applied.)

The phone number of the recipient will be written on the envelope since it is certified mail with delivery restricted to the addressee. The post office will contact the recipient when the mail can be received or picked up at the post office with identification.

*Reason for non-disclosure of "individual data held by company."

Infocom will not disclose the data it holds in the following situations. When Infocom declines a disclosure request, it will send a notification of non-disclosure indicating the reason for non-disclosure (and use the designated postage fees to process and send the notification):

  • If the address stated in the documents identifying the address and individual mentioned in the application do not match the registered address, and the individual cannot be identified.
  • If proxy rights cannot be confirmed during an application by a proxy.
  • If the documents for application are inadequate.
  • If an individual subject to a disclosure has requested Infocom "not to store individual data."
  • If disclosure would pose a risk of harm to the life, body, property, or other rights or interests of the individual or any third party.
  • If disclosure could significantly hinder the proper performance of duties at Infocom.
  • If disclosure would violate any laws or regulations.
Notes

*Applicants sending in requests for disclosure will be informed if return postage fees are insufficient or have not been enclosed. In such a case, the request for disclosure will not be considered sent if the postage fees are not received within a designated period.

*Personal information submitted in the disclosure procedures shall be used within a scope necessary for individual identification, comparison of stored individual data, and disclosure of contacts with individuals or applicants (proxies).

Applications will not be returned, but will be disposed of after a certain period.

*Please be aware that time may be necessary to compare the personal data when a request for disclosure documents is received. The delivery of disclosure documents may therefore be delayed.

B. Concerning Requests for the Revision or Termination of Use of Personal Information

Please send "<Items to be Mailed in Disclosure Requests> listed in 5(ii) Request Methods" and similar documents when sending in an "Application for the Revision or Termination of Use" or when identifying an individual subject to requests for the revision or termination of use.

C. Requests Concerning Notifications of Intent

Please contact us about disclosure requests.

6. "Certified Personal-information-protection Groups" Established at Infocom.

There are no certified personal-information-protection groups established at Infocom.

7. About Our Website

This website uses Web beacon technology and automatically requests to store cookies in the personal computers of visiting users.

The information stored on cookies will only be applied for the use of the company's homepage, and no personal information will ever be gathered.

Note, also, that access analytics software is used to make our homepage more attractive and to improve the browsing experience of visiting users.

The website will gather information on visits, views, search keywords, browsers used, links followed, etc., but it will never gather personal information.

8. Information which Must be Disclosed and that which is Not Strictly Required

Each entry sheet shall indicate required information and optional information.

Please be aware that Infocom may be unable to provide new products and services if the necessary items are not filled out. (Please confirm the details with each guide and controller.)

Renewal of Our Policy for the Protection of Personal Information

If Infocom changes any part of this policy for the protection of personal information, the changes will be presented here. You can learn about Infocom's methods for gathering and using personal information at any time by reading the latest privacy policy posted on this site. Please visit to confirm the policy from time to time.

Infocom will also contact you by e-mail or another method if your personal information is to be used with intentions or purposes different from those disclosed to you when the information was first collected.

We always respect the wishes of customers concerning the use of personal information with different intentions and purposes.
